How Hull Sporting Club collects, uses, stores and protects your personal data, including data provided by parents and guardians when registering a child for our academy.

1. Who we are Hull Sporting Club ("Hull SC", "we", "us") is the data controller for personal data collected through hullsc.co.uk, our matchdays, our shop, our membership scheme and our academy programmes. You can contact us about any privacy matter through the club contact page. 2. What we collect Supporters and customers: name, email address, postal code, order and payment reference details, membership status, and marketing preferences. Academy registrations: the child's name, date of birth, school year, medical and dietary information relevant to safe participation, emergency contact details, and the parent or guardian's name, email address, telephone number and relationship to the child. Website visitors: aggregated, non-identifying analytics about pages viewed and devices used. We do not use advertising trackers. 3. Why we collect it We process personal data to deliver a service you have asked for (tickets, orders, memberships, academy places), to keep participants safe, to meet our safeguarding and regulatory obligations to The Football Association and our league, to answer enquiries, and — where you have opted in — to send club news and offers. 4. Children's data Academy data about a child is provided by a parent or guardian, who must be aged 18 or over. We collect only what is necessary for participation and welfare. Medical and safeguarding information is treated as special category data, accessible only to the coaches, first aiders and the Designated Safeguarding Officer who need it to keep the child safe. 5. Sharing We share personal data only where necessary: with our payment provider to take payment, with our email provider to send messages you have asked for, with The FA or the relevant county FA for player registration and safeguarding purposes, and with emergency services or statutory safeguarding partners where there is a risk to a child or adult at risk. We never sell personal data. 6. How long we keep it Order and financial records are kept for six years to meet HMRC requirements. Academy registration records are kept for the duration of participation plus three years. Marketing preferences are kept until you withdraw consent. Safeguarding records are retained in line with FA guidance. 7. Security Data is held in access-controlled systems with encryption in transit. Access is limited to staff and volunteers who need it for their role, all of whom operate under confidentiality and safeguarding obligations. 8. Your rights Under UK GDPR you may request access to your data, ask us to correct or delete it, restrict or object to processing, request a copy in portable form, and withdraw marketing consent at any time. Contact us and we will respond within one month. If you are unhappy with our response you may complain to the Information Commissioner's Office at ico.org.uk. 9. Cookies We use only the cookies required to operate the site, keep you signed in and remember your basket. We do not use advertising or profiling cookies. 10. Changes We review this policy at least annually. The version number and last-updated date at the top of this page always reflect the current published version.
